NOTE: These are not the guidelines for the Medicalis scientific competition, but for UMF Days’ Scientific Start competiton
I. Registration Process
– You can register by submitting your abstract by filling out the form at the bottom of the page.
– The submission deadline is the 8th of November, 23:59.
– You will receive an email informing you if your abstract is accepted or rejected.
– If your abstract is accepted, you will have to send your poster/oral presentation by filling out the form for poster/oral presentation submission, which will be posted after the verification process, at the bottom of the page. The deadline for sending your poster/oral presentation is the 4th of December, 23:59.
ATTENTION
You must always write your name and the names of your co-authors and coordinators using diacritics. Medicalis Congress is not responsible for the wrong spelling of names if they were provided without diacritics.
II. Scientific activity
Domains of activity:
- Basic Medical Science – includes subjects from preclinical domains (for example, studies on cell cultures)
- Clinical Medical – includes clinical cases, studies on human subjects, etc.
- Clinical Surgical – includes surgical cases, studies on human subjects related to any surgical specialty, etc.
You can submit your paper in one of the following categories: Oral Presentation and Poster presentation.
Types of papers:
- Case Report – can only be presented as a POSTER
- Review, Meta-Analysis, Original Research – can be presented either as a POSTER or an ORAL PRESENTATION
III. Paper Submission
The maximum number of papers submitted by a participant as First Author is 1 for our competition (Oral Presentation or Poster presentation). We reserve the right to reallocate your paper to another category than that to which it was initially submitted.
Every paper can have:
▪ 1 Author (First Author)
▪ 1-4 Co-authors
▪ 1-2 Coordinators
As a Co-author, you can have a maximum of 4 papers.
If you have more than 2 Coordinators, please contact us at abstracts@medicaliscongress.ro, specifying your name, the title of your abstract and the names and affiliations of your other Coordinators. You can name your email Request for Scientific Coordinators.

Medicalis Congress does NOT accept papers presented before in other scientific manifestations.
1. Structure of the abstract
When submitting your paper, you can choose between an ORAL PRESENTATION and a POSTER PRESENTATION.
ATTENTION
1. The abstract must be written in English.
2. Your abstract must be sent as a Word document.
The standard structure of an Oral Presentation abstract must contain:
- Introduction – must contain background information about the subject and a clear statement of the objectives
- Materials and Methods
- Results
- Discussions (optional)
- Conclusions
- 3-5 Keywords
The standard structure of a Poster abstract must contain:
1. Case report
- Introduction
- Case report
- Discussions
- Conclusions
- 3-5 Keywords
2. Review/Meta-analysis/Original Research
- Introduction – must contain background information about the subject and a clear statement of the objectives

Remember that you can write a maximum of 400 words for your Oral Presentation abstract, and 350 words for your Poster abstract. If your abstract exceeds the maximum number of words allowed, all points will be deducted and your paper will be rejected.
ATTENTION
1. The title, the authors, co-authors, coordinators, the subheadings (Introduction etc.) and the keywords are NOT included in the word count.
2. Your abstract must NOT include references. References are mandatory for the poster/oral presentation.
3. You must avoid names of hospitals, cities, locations, etc. Any such name will be removed for the scientific commission review, so as to ensure anonymity.
Abstract format rules
- Your abstract must be written using Times New Roman, 12, standard Word line spacing
- The author, co-authors and coordinators must be written on three separate lines, following the example at the end of the page. Please write the names in the order Name Surname.
- Affiliations must be numbered in the order: Author, Co-authors, Coordinators. The numbers will be written as exponents after each name and the affiliations will be written in italic. See example at the end of the page
- You must include the subheadings (Introduction, Material and Method etc.), followed by the corresponding paragraph. See example at the end of the page
- The title and subheadings must be in bold and NOT in caps. See example at the end of the page
- The keywords must be written on the same line as the subtitle, separated by commas and beginning with a capital letter
V. Validation process of your paper
Scientific Commission Review – a commission of teachers from our university will blindly review your paper. Once the paper is reviewed, you will receive an email in which you will find the status of your paper:
- Accepted by the Scientific Commission – your paper is validated by the Scientific Commission and it will go to the next process.
- Rejected by the Scientific Commission – your paper has been rejected and it will not go forward to the next step. You will find the reason(s) why it was rejected attached to the email.
- Requires revision – if there are any issues with your submission, you will be contacted by a member of our team via email, detailing what modifications you would need to make in order for your abstract to comply with our guidelines. You will then have 72 hours to resolve the situation, otherwise, your abstract might be subject to
The Scientific Department will inform you through an email if your paper will be presented in the Scientific Start competition or if it was rejected and what the reasons are.
ATTENTION
Non-compliance with any of the rules stated in the Scientific Start Guidelines may subject your paper to disqualification.

- Oral Presentation:
Your presentation must be in .ppt format. Any other format is not accepted. You must send your presentation file in .ppt/.pptx by filling out the form for poster/oral presentation submission until the 4th of December, 23:59.
You will have a maximum of 7 minutes to present and 2 additional minutes for questions from the jury. Exceeding the time limit for the presentation will be followed by a deduction of points from the final score, proportionate to the time beyond the limit.

2. Poster Presentation:
For the presentation in front of the jury, you will have a poster A0 format – 841 x 1189 mm PORTRAIT orientation and you will send it as a .jpg by filling out the form for poster/oral presentation submission until the 4th of December 2024, 23:59.
Tip: Ideally, the aspect ratio of your poster should be of 16:9.

ATTENTION
We do NOT require any other formatting rules for the poster.
When presenting a poster, you have a maximum of 5 minutes for your presentation, followed by 2 minutes for questions asked by the jury. Exceeding the time limit for the presentation will be followed by a deduction of points from the final score, proportionate to the time beyond the limit.
Assessment of your paper – Your paper, whether it is an Oral Presentation or a Poster, will be assessed by a jury and the best papers will be awarded.
ATTENTION
1. The presentation of your paper (Poster or Oral Presentation) must be held in English.
2. The presentation must be held on-site.
3. The author of the paper must be the presenter. If the author cannot be present, they must announce the organizing committee through an email at abstracts@medicaliscongress.ro and designate one of the co-authors to present.
4. The winners from each category will be announced at the end of the competition, so we ask you to be present.
VII. Publication
Your abstract will be published in the Medicalis Abstract Book, in a separate section dedicated to the Scientific Start. The book will be available on our website after the end of the congress.
ATTENTION
We reserve the right to bring formatting modifications to your abstract for publication. These include changing the font type and dimension, spacing, writing words in bold or italics, writing correct English forms of words, etc. These modifications only refer to the format of the abstract, in order for it to comply with the format of the Medicalis Abstract Book. Nothing pertaining to the content of the abstract will be modified.
